What do you actually build?

In practice that means internal copilots your team asks instead of interrupting a manager, workflow automation across the tools you already pay for, audits that catch what quietly leaks, and customer-facing agents where they genuinely help. What gets built depends on where your time and margin actually go, which is the first thing we work out.

How is this different from an off-the-shelf AI tool?

Accepted Answer

An off-the-shelf tool assumes your business looks like everyone else’s, and your team ends up adapting to the software. We work the other way round: we start from your workflows, your data, and your vocabulary, and build to those. The result knows your pricing, your SOPs, your product names, and your exceptions — because it was built on them rather than prompted about them.

Where does AI actually help in a business like mine?

Accepted Answer

The high-volume, judgement-light work that quietly consumes people: checking documents against what was agreed, answering the same forty questions, moving records between systems, chasing what has stalled, and drafting the first version of things. It is least useful where judgement, relationships, or accountability matter — so those stay with your team, and the agent hands them a finished starting point instead of a blank page.

Do we need AI people on staff to run it?

Accepted Answer

No. Nothing here requires a data scientist or a prompt engineer on your payroll. Your team works in the tools they already use and reads output in plain language; the models, pipelines, and monitoring sit on our side. You get an owner on our team, a changelog of what shipped, and the ability to ask for a change in a sentence rather than a ticket.

What do you audit?

The things that leak without anyone noticing. Documents and contracts against what was agreed, transaction files against what should be there before a deal stalls, insurance claims that came back short, trade deductions claimed against promotions that never ran, discounts and comps that should not have cleared, and the compliance checks your regulator or franchisor requires. Anything that fails a check goes in front of a person with the backup attached.

Will it work with the tools we already use?

That is the point — your team keeps working where it always has. We build into POS and booking systems, CRMs, ERPs, practice and dispatch software, reservation platforms, retailer portals, review sites, and ad platforms, so records, jobs, and conversations sync both ways and nothing has to be re-keyed. If something has no API, we will tell you that up front rather than after the invoice.

What stays automated, and what reaches a person?

Accepted Answer

Routine volume runs on its own: status, scheduling, standard questions, intake, confirmations, follow-ups, and the first draft of recurring work — answered out of your own documents and written back into your systems. Anything sensitive or unusual — a complaint, a dispute, a claim, a customer already unhappy — is escalated to a person with the full context attached rather than guessed at. You set where that line sits, and you can move it.

How do you handle our data and security?

Accepted Answer

Access is scoped to exactly what a build needs and nothing more, credentials stay yours, and data handling, retention, and encryption are set to your requirements — including the ones your regulator sets, if you work in a space that has them. Your data is not used to train anyone else’s model, and payment details stay with your processor rather than with us.

How do we know it is working?

Accepted Answer

We agree the measure before the build, not after. Usually that is hours returned, errors or leakage caught, response time, or revenue recovered — one number your team already recognises. You see it on the same cadence your team already works to, so the system stays accountable to something concrete. If a piece is not earning its place, we say so and change it.

How long does setup take, and how do we start?

Accepted Answer

Book a call and we map what to build first. Once the agreement is signed we run an onboarding session and take in what we need — system credentials, your documents and pricing, and the thresholds you want flagged. Most businesses are live in about ten days to three weeks depending on scope, and we start with whichever piece pays for itself soonest.
